QStock’s Distributor Centric Customer Portal allows companies that use Sage Intacct to enable their customers to be provisioned users who can log into a customer portal to enter in their own orders. Optional approval steps are available to post orders as a draft order in Sage Intacct Order Entry. When accounting looks over the Order, they can consider if there are credit holds or other considerations they are aware of. If all looks good, they can shift to approving instead of keying, doing more data verification instead of data entry. Once the order is approved and posted by accounting, the warehouse team using QStock can allocate, direct the picking, and utilize integrated shipping options to complete fulfillment.

Throughout the entire process, your customers can look in their portal and see the status of the order. This allows your customers to get simple questions answered like, “What’s the status of my order, has my order shipped? And “what is my tracking number”. This self service allows your customer service reps to focus on more challenging questions and adding more focus to their call time.

UDI labels are complex but very useful and now the FDA requires product labels that require special handling by your inventory management software. In fact, most inventory systems currently do not read or make sense of such labels and force you to deal with that as a standalone process outside of the system.

QStock Inventory is a Warehouse Management System, or WMS, and has a deep real-time integration with Quickbooks through an API connection. Today we’ll be showing you how we create a Work Order in QStock from a QuickBooks Bill of Materials(BOM), allocate and assemble that WO physically in the warehouse with barcode scanning during the picking and put away and automatically creating the proper decrement of raw materials used and increment of finished goods created in Quickbooks once we are done.

One of the things that QStock does is streamline the kit and light assembly process in your physical warehouse.

Here is a new work order in QStock for a chem kit we want to produce. Once we create the work order from a managerial view, being able to see how many we can make, how many are already made, and how many are already on work orders to be made, we can allocate the work order for team members in the warehouse floor to be picking and producing.

To complete the work order into QStock, we are going to use a Wi-Fi enabled windows device with a barcode scanner like this one running QStock Mobile. As you can see, I have visibility to all of the allocated WO’s in QStock.

Allocated work orders show up to allow workers to get the right items from the right places following the most efficient path. Once the items are together and assembling is complete, we can receive in the finished goods and close out the work order in QStock from the handheld. Once we do that, we can see the appropriate adjustment decrements of raw materials used, and adjustment increments of finished goods produced are created within QuickBooks.

After shipping the order in QStock, we can see the QuickBooks Sales Order update saying the items are invoiced and closed while a sales invoice document is created. We can also see the individual Item Activity show the decrease in stock for the items that we scanned in and shipped through QStock.

Here is a new purchase order in QuickBooks with a few line items. When we save the Purchase Order in QuickBooks, QStock copies the purchase order, so in the warehouse, we now see the same purchase order to work against and the people working in QuickBooks can see what is pending receipt.

To receive the items into QStock, we are going to use a Wi-Fi enabled windows device with a barcode scanner like this one running QStock Mobile. As you can see, I have visibility to all of the open PO’s in QuickBooks, QStock Desktop, and QStock Mobile. This allows me to see from the perspective of finance, warehouse management, and the people working on the warehouse floor in ways that make the most sense to each role.

After releasing the Purchase Order in QStock, we can see the QuickBooks Purchase Order converts to show all the items received when we look back at the purchase order as it creates an AP Bill with the items. We can also see the individual Item Activity show the increase in stock for the items that we scanned in through QStock.
